Preserve customer context during help desk handoffs
Carry the customer’s goal, impact, prior answer, and expectation to the next owner without making them repeat the story.
Direct answer
A handoff should answer why the customer contacted support, what they need now, and what has already happened. Put the goal, impact, relevant facts, actions tried, current status, and next decision in one readable note.
Keep customer language where it explains urgency or confusion, but separate it from verified facts. The receiving owner should be able to see both the person’s concern and the evidence that supports the next step.
Do not transfer an unresolved promise without naming who will communicate it. A technical handoff can move while the original support owner remains responsible for the customer update until the route explicitly changes.
Read a sample of transferred tickets from the receiving owner’s perspective. If they must search other channels or ask the customer to repeat information, tighten the handoff fields and the ownership rule.
