Build a clear help desk customer follow-up plan
Set the next contact point, owner, and customer expectation before a ticket waits on another team.
Direct answer
A follow-up plan should answer three questions: what is still open, who owns the next action, and when the customer will hear again. Put those answers in the ticket before sending an update.
Use a checkpoint rather than a promise the owner has not approved. If the next date is unknown, state the event that triggers the next message and who watches for it.
When a dependency changes, update both the internal note and the customer-facing expectation. Silence makes a normal dependency look like a lost request.
Review waiting tickets for stale checkpoints and missing owners. Escalate the planning gap when the same dependency repeatedly causes missed updates.
