Writing customer-impact notes that help desk owners can use
Describe who is affected, what work is blocked, and what the customer expects without overstating the incident.

Customer impact notes should make consequence visible without turning an assumption into a fact. Record the affected person or group, service or task, observed symptom, time, business activity, and any workaround already tried.
Separate the customer’s report from what support has verified. If the number of affected users, cause, or duration is unknown, label it as unknown and state who can confirm it. This gives the receiving owner a useful starting point.
Use impact to guide routing and updates, not to promise an outcome. A support specialist may connect a request to an incident or technical owner while keeping the individual customer’s context in the ticket.
Compare impact notes with later decisions and updates. If owners repeatedly ask for the same missing detail, add that fact to the intake question or escalation standard rather than relying on memory.
