Check accuracy, clarity, scope, and next steps so replies help customers without making promises the team cannot keep.

Direct answer

A good reply answers the customer’s question or explains the next safe step. It should match the ticket facts and the actions the support specialist is allowed to take.

Read for hidden promises. Words such as fixed, approved, and resolved should describe a confirmed result, not an intention to investigate.

Check whether the customer knows what to do next and when to expect another update. If another owner must decide, name the handoff without exposing internal confusion.

Use a small sample that includes routine answers and escalations. Record the correction in the source instruction when the same reply problem appears more than once.
