Improve the quality of help desk escalation requests
Give the receiving owner a precise decision request, relevant evidence, customer impact, and a clear return path.
Direct answer
An escalation should ask for one next decision or action. Put the request at the top, followed by the affected system or customer, verified facts, steps already taken, impact, evidence location, and requested checkpoint.
Separate what support knows from what it suspects. The receiving owner can investigate a possible cause, but a guessed cause should not become a customer-facing statement or an unnecessary priority claim.
State what the customer has been told and who will send the next update. This prevents a technical handoff from becoming a silent transfer of responsibility.
Review bounced or returned escalations. Missing ownership, weak evidence, unclear requested action, and overbroad scope are common reasons for delay; fix the template or boundary that repeatedly creates them.
