Priority signals that help desks can apply consistently

Use impact, urgency, risk, and evidence to guide priority decisions without turning every urgent request into an emergency.

Direct answer

Priority should describe the customer or service impact, not the volume of emotion in a message. Write the signals that move a request into a higher response path.

Consider who is affected, what function is unavailable, whether a security concern exists, and what evidence supports the report. Keep the questions short enough for the first intake.

A high priority should create a clear action and owner. If the queue has no available path for the priority, the rule has named a label without solving the response problem.

Review priority changes and missed escalations together. Adjust the definitions when different specialists make different decisions on the same evidence.
