Track expiring approvals in help desk work
Prevent stale authorization from silently supporting a later action by recording scope, expiry, and revalidation ownership.
Direct answer
An approval is evidence for a defined action and period, not a permanent permission. Record what was approved, for which account or service, by whom, when it expires, and what result the specialist is allowed to produce.
Make expiry visible before the work reaches the final step. If circumstances changed or the requested action expanded, pause and obtain a fresh decision instead of stretching old approval to cover a new risk.
Keep the specialist’s role separate from the approver’s role. The queue can verify that the record exists and route a renewal request, but it should not manufacture consent or decide that a stale approval still applies.
Sample completed and waiting tickets for expired evidence. Repeated misses may require a better ticket field, an automated reminder owned by a real team, or a narrower approval scope.
