What evidence belongs before a help desk ticket closes

Close work only when the record shows the answer, result, customer expectation, and any remaining owner action.

Direct answer

Closure should describe the outcome, not just the last message sent. Record the request, approved action, result, relevant evidence, customer-facing update, and any follow-up that remains open elsewhere.

Use a different path for solved, customer-waiting, duplicate, and withdrawn work. A status that hides why a ticket stopped makes later quality review and repeat-contact analysis unreliable.

Do not mark a sensitive decision complete because the request was handed off. The decision owner must confirm the result, and the support record should show the approval or reason for the outcome without storing unnecessary secrets.

Sample closed tickets against later replies and reopened work. If customers return because the answer was incomplete or the next step was unclear, improve the closure standard or source article.
