A useful note lets another specialist continue without replaying the whole conversation. Start with the customer goal and impact, then state what was verified, what action was taken, what evidence supports it, and what remains unresolved.

Mark assumptions and unknowns clearly. The next owner should not mistake a customer report for a confirmed cause or a proposed action for an approved change.

Keep sensitive details proportionate. Record the result of an identity check or approval rather than copying passwords, recovery codes, payment data, or unrelated personal content.

Review notes from transferred and closed tickets. If a reader cannot identify the next action or accountable owner quickly, simplify the fields or examples used by the queue.
